    Inviting collaborators

Co-host roles: Manager, Operations, Finance — what each can do in your account.

    Screen Management
    4 min

Most owners don't run their screens alone. Invite the venue manager, the accountant, the network technician — each gets their own login and works in your account with the role you give them.

    Three roles

    Manager

Full operational access except payouts and team. Approves and declines bookings, releases a booking's remaining hours, edits screen settings (price, free or paid, hours and closed days, content rules, address, default content, pause), manages house content, pairs and releases TVs, verifies screens, adds new screens to your account (/add-screen or /register-screen — the screen is yours, and you are paid for it), messages advertisers about your bookings for you, sees earnings and tax documents (read-only), and files refund disputes for you — each one is recorded as your dispute, and you're told a manager filed it.

    Operations

The day-to-day fixer. Approves and declines bookings, releases remaining hours, manages house content, pairs and releases TVs, verifies screens, reads the proof-of-play report and heartbeats, and messages advertisers about your bookings for you. Sees no earnings — every money figure is hidden — and can't change prices, hours or settings, or add screens.

    Finance

The bookkeeper. Reads earnings and tax documents, and sees what is booked on your screens. Can't do anything operational, and doesn't message advertisers.

What nobody but you can do

Change payouts (Stripe or PayPal), invite or remove anyone, deactivate a screen, or answer a message request from someone who hasn't booked yet.

    How to invite

    1. Open /team (Account → Screen owner tools → Team).
    2. Click Invite collaborator.
    3. Enter their email and pick the role. Click Generate invite link.
    4. Copy the link and forward it to them — email, text, whatever.
    5. They open the link within 14 days and sign in (or create an account) with that email. Their row on your list changes from Pending to Active, and your screens open for them. A link older than 14 days shows Expired — invite the same email again for a new one.

    Working in someone else's account

If you're a collaborator, your screens, the day and screen pages, earnings and tax documents show an Account picker at the top: your own screens, or each account you're on, with your role. While you're in someone else's account every page says so. Your team memberships are listed on /team under Teams you're on.

Your Messages tab (/inbox) follows the same choice. In an account where you're a Manager or Operations member it lists that owner's conversations about their bookings, and you read and answer them there, for the owner; Messages for at the top switches back to your own messages. A notice about one of your own conversations still opens it, and the top of the tab tells you when your own messages have something unread.

The account tools (Account → Screen owner tools) and /pair work in the chosen account too, as far as your role goes: Device monitoring and pairing a TV at /pair for Manager and Operations; Screen groups for everyone, changed only by a Manager (activating or deactivating a screen stays the owner's); Bulk screen actions for a Manager; Revenue analytics and Revenue optimization for Manager and Finance. Operations sees no money in any of them. A tool your role doesn't include says so.

    Messages written for you

When a Manager or Operations member writes to an advertiser from a booking, the message goes in your thread with that advertiser and says who wrote it: the advertiser sees Sam for Maria above it, and so do you. When the advertiser replies you're told, as always — and so is every Manager or Operations member who wrote in that conversation: "The advertiser replied to your message for Maria", in the app and by push, like any chat message. It opens the booking with the conversation.

Your Manager and Operations members also share a team inbox: while they work in your account, their Messages tab lists every conversation about your bookings, and they can answer any of them. Each has their own unread count — their reading doesn't mark anything read for you or the advertiser. They never see a message request from someone who hasn't booked, or anything written before a booking, and no money. Finance doesn't see your messages.

    Notifications for your team

Your collaborators don't get your notifications — only the advertiser's replies to what they wrote, above. A Manager or Operations member can turn one more on for themselves: Bookings that need review, under Teams you're on in their notification settings, tells them "A booking on Maria's screens needs review" whenever a booking waits for approval — in the app, by email and by push. It's off until they turn it on.

    Revoking access

On /team, click Revoke on any row. Effective immediately — their next page load shows nothing of yours.

    Team activity

What your collaborators do — approvals, declines, released hours, price and settings changes, screen groups, house content, TV pairing, screens they add, messages they write to advertisers, refund disputes filed — is listed on /team under Recent team activity. A collaborator can read only their own actions.
